What information we collect
You can access all of the pages on the Synexus SA website without giving us any personal information. However, should you choose to complete the "Patient Registration" with us, your personal information will be stored on our central database.
The information we collect through the registration form may include information relating to your gender, name, date of birth, marital status, race/ethnic origin, address, contact information (including email address), your physical or mental health history, lifestyle information, healthcare provider, number of dependants, family history, medications that you are currently on (prescribed and over the counter) and interests.
What we do with the information we gather
If you wish to participate in a clinical trial the information provided when registering will be expanded upon to ensure we are able to give you the best possible care available. Synexus SA uses the information gathered to inform you about upcoming clinical trials that may be suitable or of interest to you, to assess trends in therapy areas around the demographic areas of our clinical research sites, and to periodically send promotional communications about upcoming clinical trials or other health related information. We may also use the information to customize our websites according to user interests.
Your personal contact details may be used by us to contact you by phone, email or text about particular clinical trials. We may also use your information to post or email newsletters or materials that we believe may be of interest to you, or to respond to any queries or complaints that you may have.
Occasionally Synexus SA is approached by third parties such as academic institutions, patient support groups, for information so they may contact you direct about services that may be of benefit to you. No such information would ever be provided to a third party, not involved in the implementation of the Synexus SA services, without your prior permission. This consent would be requested in writing by us in advance and the information only released after we received your completed and signed release form, detailing who the information was going to and for what purpose.
How is your information transferred from the site?
When you complete the "Patient Registration" form and press the submit button, your information is saved and stored on a secure server managed by our third party website hosting provider. The information is then uploaded on a nightly basis via an Open Database Connectivity (ODBC) facility to the secure Synexus SA database. These storage points and transfer process are managed in accordance with the Protection of Personal Information Bill (B9 – 2009).
Once your information has been transferred into our secure database the hosting provider will hold your information for a maximum of 14 days for back-up and restore capabilities. After this time the information will be permanently deleted from the hosting provider’s server.
Synexus SA will hold your information on its database for a maximum of 7 years unless you participate in a clinical trial, update your consent for us to hold your personal data, or you ask for us to remove your details from our active database.
Who can access my information?
Synexus SA employees may only have access to the sensitive personal data you supply, such as your medical history, where it is relevant for them to do so. However, this information will usually remain anonymous using a unique identifier within the database. Names and contact details will be used by staff members who need to supply you with information or run reporting on demographics.
No other third parties will be given access to any of your medical information and will only have access to contact information where it is necessary in accordance with this policy.
We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect on line.
